Start with an agreed service scope

Payroll services can cover different activities. Before appointing a provider, agree which companies and employees are covered, the pay cycles, deliverables and points of contact. Separate payroll processing from optional HR administration work. A clear written scope helps both teams understand what needs to happen each month.

Prepare accurate monthly inputs

Employers usually provide employee changes and approved pay inputs, such as salary adjustments, allowances, overtime, deductions and unpaid leave. Agree a submission format, a monthly cutoff date and who checks the information before sending it. Confirm how new joiners, resignations and changes received after the cutoff will be handled.

Confirm the processing activities

Discuss salary calculations, applicable statutory deductions, employer contributions and any business specific pay rules. Ask the provider to explain how it handles unusual cases and corrections. Confirm which filing or submission activities are included, which require employer action and whether there are separate charges. Do not assume that every payroll package includes the same activities.

Agree review and approval responsibilities

Set aside time for your authorised reviewer to check the prepared payroll. Compare employee changes, earnings, deductions, employer contributions and net pay against approved inputs. Agree how questions are resolved, who approves the final version and what happens if a correction is needed after approval. Confirm separately who releases salary payments.

Specify outputs and handling of employee information

Ask which payslips, payroll summaries and other reports you will receive, and when they will be available. Confirm access permissions, the method for transferring payroll files, retention arrangements and how information is returned when the service ends. These are practical questions to resolve before sharing employee records.
